Cleaning standards & quality assurance

Most cleaning complaints come down to one thing: nobody wrote down what was supposed to happen. Our quality system starts with a written scope and stays accountable to it.

Written scope of work

Before service begins, every facility receives a written scope defining tasks, frequencies, exclusions, and responsibilities. If it is not in the scope, we will not pretend it is — and if you need it added, we adjust the scope in writing.

Task checklists

Recurring visits follow task checklists derived from your scope, organized by area: restrooms, breakrooms, offices, entrances, and common areas. Checklists keep visits consistent even as schedules and staffing vary.

Facility-specific instructions

Every building is different — alarm procedures, sensitive areas, surfaces that need particular products, rooms that must never be entered. These are documented per facility, not left to memory.

Quality inspections

Quality is checked against the written scope on a recurring basis, with additional attention during the first weeks of service while the routine is established.

Issue reporting and correction

You report issues directly to ownership — phone, text, or email. Missed items are corrected and documented. If a miss keeps recurring, we change the checklist or the routine, not just apologize.

Access and key handling

Keys, codes, and alarm procedures are documented during service setup and treated as confidential. Access arrangements are only changed with your written agreement.

Products and equipment

Standard commercial cleaning products and equipment are included unless your proposal states otherwise. EPA-registered disinfectants are used according to their labels when disinfection is included in your written scope. If your facility requires specific products, that goes into the scope.

Consumables monitoring

Where the scope includes restocking, we monitor soap, paper, and liner levels and flag supply needs before they become complaints. Who purchases consumables is defined in your proposal.

What we do not do

We are honest about boundaries: no biohazard remediation, no medical-waste handling, no sterilization services, and no specialty floor refinishing. Routine floor care — vacuuming, sweeping, mopping — is part of normal janitorial service.

Insurance

We are insured, and proof of insurance is available during the proposal process or upon request.

Scope changes

Facilities change — headcount grows, areas get repurposed, traffic shifts. Scope updates are discussed and documented before recurring pricing changes. No surprise invoices.
